Volunteer Management - Getting Started
How to access the Volunteer Management section
If it's your first time in Gracely
1. Navigate to the Events section:
- Go to the sidebar and click on Events

2. Create a new event:
- Click the Create new event button

3. Add your event's basic information:
- Date & Time (optional: you can set up the recurrence)
- Add the Title and Description, and if you want, upload your event image
- In the final step, choose the Teams that need to participate as volunteers
Note: Once you assign teams, team leaders automatically receive an email instructing them to log in and assign volunteers. As an admin, you can also manually assign available volunteers
Step 4 & 5 it is not a required if you have already assigned teams when you created the event
4. Go to the Assigned Teams tab
- After creating your event, click on it to view its details, then navigate to the Assigned Teams tab

5. Assign available teams:
- Click Add team to assign your available teams to the event

6. Assign volunteers to events:
- Once the teams are added, click the Assign Volunteers button at the top right

- Select the available volunteers

7. Invite Volunteers:
- Click Invite Volunteers once the team members are assigned. Volunteers will receive an email to confirm their availability

8. Confirmation:
- Your selected volunteers will receive an email where they can mark their availability:
- I can serve
- I can’t serve

Final Note: Your volunteer scheduling is finished! We hope you have a great event!
